Privacy Policy

1. Overview

This Privacy Policy explains how Docs Estimator, a SubAddons product ("Docs Estimator," "we," "us," or "our"), handles information when you use the Docs Estimator website at subaddons.com/docsestimator and the Docs Estimator Google Workspace add-on (together, the "Service").

This policy is intended to clearly explain our handling of Google user data, proposal information, account information, billing information, and information you voluntarily provide to us.

2. Google user data and Google Workspace permissions

Docs Estimator is a Google Docs add-on. The current Apps Script project requests the following OAuth scopes:

• Google Docs current document: https://www.googleapis.com/auth/documents.currentonly. This allows the add-on to work with the Google Doc in which the add-on is installed, including inserting the generated proposal into the document.
• Google Workspace container UI: https://www.googleapis.com/auth/script.container.ui. This is used to display and operate the add-on's user interface inside Google Docs.
• External requests: https://www.googleapis.com/auth/script.external_request. This allows the Apps Script project to communicate with our external account and billing service for account access and subscription entitlement checks.
• Google account email: https://www.googleapis.com/auth/userinfo.email. This is used to associate the Google account using the add-on with the Docs Estimator account and subscription entitlement.

How Google Docs data is used

The add-on uses the current Google Doc to insert the proposal you create. The implementation does not intentionally collect, copy, or transmit the existing text of your Google Docs to our servers for advertising, profiling, analytics, or unrelated purposes.

The proposal is generated from information you enter into Docs Estimator, such as the proposal title, notes, client information, line items, pricing, taxes, discounts, additional charges, and business settings.

Google account authentication and billing

When the add-on checks account access or subscription status, the Apps Script project uses Google's authorization token to authenticate the request to the external account and billing service. The purpose of this exchange is to identify the authorized Google account and determine whether the user has an active trial or paid entitlement. The authorization token is not used for advertising or unrelated profiling.

3. Proposal, client, template, and settings data

Docs Estimator is designed with a local-first workflow for the proposal workspace.

• Proposal drafts: saved in your browser's local storage so you can continue working in the add-on.
• Client records: saved in your browser's local storage for reuse in future proposals.
• Saved templates: saved in your browser's local storage and used to recreate recurring proposal structures.
• CSV data: CSV import and export are performed in the add-on. CSV files are not uploaded to our billing service simply because you import or export them.

Business settings and account synchronization

When you save settings, the add-on can synchronize selected settings with our account service. These settings can include your company or brand name, company address, phone number, company email, proposal validity, terms and payment notes, currency and number formatting, tax and discount defaults, additional-charge settings, proposal format, and logo information.

This synchronization is used to support the Docs Estimator account and service experience. It is not used to read or analyze the contents of your Google Docs.

4. Information we receive directly from you

We receive information when you voluntarily provide it through the website or service, including:

• Contact requests: your name, email address, and message when you submit our contact form.
• Support communications: information you choose to provide when contacting us about an issue, account, billing matter, or support request.
• Account information: the Google account email and account identifier needed to provide Docs Estimator access and subscription entitlement.
• Billing information: limited subscription information such as subscription status, plan, billing identifiers, and email address.

5. Payment processing

Paid subscriptions are processed by Paddle.com Market Limited, which acts as merchant of record. Paddle handles checkout, payment processing, applicable tax collection, invoices or receipts, and payment-card information.

Docs Estimator does not receive or store your full payment-card number. We receive only the limited billing and subscription information needed to provide the Service, manage entitlement, provide support, and reconcile subscriptions.

6. Third-party service providers

We use service providers to operate Docs Estimator. The providers relevant to the current Service include:

• Google LLC / Google Workspace: provides Google Docs, Google Workspace, Apps Script, OAuth authorization, and Marketplace distribution.
• Supabase: provides database infrastructure used for account identity, subscription entitlement, and billing-related records.
• Netlify, Inc.: hosts the Docs Estimator website and related serverless website functions.
• Paddle.com Market Limited: processes subscriptions, payments, taxes, receipts, and billing administration as merchant of record.

These providers process information according to their own applicable terms and privacy policies. We do not authorize these providers to use Google user data for advertising or unrelated purposes.

7. Information we do not collect from Google Docs

Docs Estimator does not operate as a document-content analytics service. We do not intentionally upload your existing Google Docs text, document history, comments, or unrelated files to our servers.

The add-on accesses the current document because that access is required to insert the proposal you request. Any normal Google Docs editing that you perform after insertion remains within Google Docs.

8. Cookies, analytics, and advertising

The Docs Estimator website may use essential browser technologies required for basic site functionality. Where analytics are enabled, they are used to understand aggregate website usage and improve the Service.

We do not sell personal information and do not use Google user data obtained through the add-on to build advertising profiles.

9. Data retention

Local proposal drafts, client records, templates, and related local workspace data remain in the browser until you delete them, clear the relevant browser storage, or otherwise remove the stored site data.

Account, subscription, and billing records are retained for as long as reasonably necessary to provide the Service, administer subscriptions, provide support, prevent abuse, resolve disputes, and satisfy legal, tax, accounting, or regulatory obligations.

Contact and support messages are retained for as long as reasonably necessary to respond to the request, provide support, maintain business records, or meet legal obligations.

10. Security

We use reasonable technical and organizational safeguards appropriate to the nature of the information we process, including HTTPS for network communications, access controls, and limiting the information processed to what is needed for the Service.

No electronic transmission or storage system can be guaranteed to be completely secure. You are also responsible for maintaining the security of your Google account, browser, and devices.

11. Your choices and data rights

Depending on applicable law, you may have rights to access, correct, export, restrict, object to, or delete personal information that we hold about you.

You can remove local proposal, client, template, and settings data through your browser's site-data/storage controls. You can also request assistance with account or server-side information by contacting us at subaddons@gmail.com.

12. Disconnecting or uninstalling the add-on

You may stop using or uninstall Docs Estimator at any time. Uninstalling the add-on does not automatically erase every server-side account or billing record because some records may be required for subscription administration, legal compliance, accounting, fraud prevention, or dispute resolution. You may contact us to request deletion of eligible personal information.

13. Children's privacy

The Service is intended for business and professional use and is not directed to children. We do not knowingly collect personal information from children.

14. Changes to this Privacy Policy

We may update this Privacy Policy when the Service, data practices, legal requirements, or Google platform requirements change. We will update the "Last updated" date when changes are made. Material changes may also be communicated through the Service or by email where appropriate.
